Board Meeting Minutes

December 10, 2024

BOARD MEMBERS PRESENT: Chiara O’Connor, President, Steven Goldsmith, Vice President; Joe Sgroi, Treasurer; Pat Harris, Secretary, Eli Schwartz and Jarred Seid

ISLAND EAST MEMBERS PRESENT: Ryan King

The meeting was called to order at 7:20 pm.

Parking Lots

Joe gave an update on his discussions with All Island Plumbing and Riley Excavating to fix the parking lots. The contractors have verbally agreed to come back and add some smaller stone to the main drive areas of all 4 parking lots, using the same process that was tested at the entrance to parking lot 1 back in August.  This “repair” was also discussed with the Landscape Architect, who was in agreement with this approach. Once the repair is done and tested, the final payment to All Island Plumbing of $45,000 will be made to close out this contract.  The board voted to accept this agreement and will be securing a written description of the repair and final lien waiver from the contractor.  Note that no additional money above the original contract value will be paid for this extra work.  The board will notify the community once the repair work is scheduled to be done.

Master Plan Close Out

Once the parking lots are repaired, all the contracts relating to the Master Plan will be completed.  While we attempted to negotiate a final invoice with Sandpebble, they ultimately decided to just end the project without any further payment due.  The board will work with our attorney to document the closure of Sandpebble’s contract.

Treasurer Update

The board voted to move our reserve funds plus some of the excess insurance funds into a high yielding account.  If at any time these funds are needed they can be easily moved to our operating account.

Open Board Position

The board voted to accept Dan Switzer’s application to become a new board member.  He will fill out the remainder of the position vacated by Antonio Martins, which expires in September 2025.  Dan brings a wealth of executive management and prior board experience to the board and the community.  He will be joining us at the next meeting, scheduled for January 7th.

Aluminum Wiring Project

The board is continuing to work with David Eldridge on a plan to move forward with removing the remaining aluminum wiring from all units.  David has asked for some additional background information and will then be meeting with the board to discuss a plan forward.

Miscellaneous

The deer spray that was done earlier in the fall seems to be working.  We expect to spray again in January.

The meeting was adjourned at 8:25 p.m.

The next board meeting is scheduled for January 7th.
