Board Meeting Minutes
March 11, 2025
BOARD MEMBERS PRESENT: Chiara O’Connor, President, Steven Goldsmith, Vice President; Joe Sgroi, Treasurer; Pat Harris, Secretary, Eli Schwartz, Jarred Seid and Dan Switzer
ISLAND EAST MEMBERS PRESENT: Ryan King
The meeting was called to order at 7:19 pm.
Treasurer’s Report
Our operating account has a current balance of $137,532. We may be a bit short relative to our budget, however with many seasonal spending items we will continue to monitor these over the next few months. We do have $15k budgeted for minor dock repairs as well as approximately $103K in excess insurance funds. Unknown expected costs are the additional sprinkler zone for coverage of the grass between our white fence and Mitchell Road as well as the insurance policy for our buildings, which renews in April.
The Board discussed changing insurance brokers relating to our building coverage for this year. The Board voted unanimously to pursue making this change, based on recent conversations with a recommended broker that we believe will be better suited to advising us in the future. We do not expect this will require a change in insurance carriers at this time.
Grounds Committee
The Board has reached out to the Pool Furniture Committee and has inspected our existing furniture to consider whether some of the furniture can be used again this summer. Members of the Board assessed the pool furniture and it was determined that while the chaise lounge chairs are viable and just need a good cleaning, the chairs indeed need replacement as they are frayed and pose a safety issue. New umbrellas are also needed for this year’s summer season.
The property was sprayed again to deter the deer using the winter deer repellent already purchased. Deer have been seen on the property over the past several weeks. The spraying has been coordinated by Island East, and each winter spraying is effective for 2-3 months.
Island East recently walked our grounds with the new landscaper, GP Landscaping. Our landscaper will be providing suggestions on covering the tall cement retaining walls, either with plantings or some type of resurfacing.
Aluminum Wiring Project
The Board made a few final revisions to the community letter detailing the history and plan forward to remediate all aluminum wiring in our buildings. The Board voted ( 6 in favor, 1 abstention) to send this final version to our attorney for his final review. The Board set the date for the community Zoom meeting for Tuesday, April 1st, which will also be noted in the letter. Our goal is to send this letter to all owners, once we have the final sign off.
Docks & Bulkhead
The Board reviewed 3 proposals for work to repair the bulkhead walkways, gates and fence to ensure safe conditions for the upcoming boating season. Since the prior meeting, the Board reached out to the Village Building Department regarding requirements for permits or specific materials allowed for this purpose. Since we are repairing our current walkway and fence using similar treated wood, the Village informed us that no permits are needed. The Board discussed all 3 proposals and voted to accept the proposal from LVS Carpentry. The Board will be meeting with LVS Carpentry to finalize the details. Our bulkhead walkways will be leveled, new treated wood put down for the walkway and repairs made to the fence top rail and spindles as needed. It is expected that work will begin as early as the week of March 24th and continue for 4-5 weeks.
Communications
The Board voted to send out an email blast to boat owners regarding the bulkhead walkway and fence repair work that will be happening throughout the month of April. Our rules allow boat owners to have their boats delivered to our property starting April 1st. This year the Board is asking that, if possible, owners have their boats delivered after May 1st.
New Business
An idea was put forward to look at adding a few picnic tables on the green area near the flagpole & gazebo. Further discussion will continue at our next meeting.
Due to the high winds in February, buildings 5 and 7 had a section of the building soffit come loose. Areas in both buildings have been repaired.
The next Board meeting is tentatively scheduled for April 9, 2025.
