Board Meeting Minutes
June 10, 2025
BOARD MEMBERS PRESENT: Steven Goldsmith, President, Jarred Seid, Vice President; Joe Sgroi, Treasurer; Pat Harris, Secretary, Chiara O’Connor, Eli Schwartz and Dan Switzer
ISLAND EAST MANAGEMENT PRESENT: Ryan King
The meeting was called to order at 7:20 pm.
Treasurer’s Report
The Board briefly discussed the budget for the 2025/2026 fiscal year, which is in the process of being reviewed. It is expected the budget will be finalized and approved by the Board later this month.
The Board discussed a proposal to begin a reserve study for our community. This would entail development of a long term plan for maintenance and replacement of all aspects of the community’s common elements. As a first step the Board will assess the condition and expected remaining life of our building roofs, siding and decks.
Grounds Committee
The Board completed a review of the landscaping with our landscaping company and Island East, which included an assessment of the trees, shrubs and plants on the property with the goal of identifying any that did not survive the winter and the need for any replacements. The vast majority of the new plantings are continuing to grow, however some of the perennials and plants are being eaten by deer. These plants will either be removed or replaced over time with deer resistant plantings. Island East Management is coordinating weekly spraying throughout the property to repelfor the deer. In addition, our landscaping company is preparing proposals for possible evergreen plantings to screen some exposed cement walls and electrical boxes on our buildings.
Our new pool furniture is scheduled to be delivered on Monday, June 16th. Two new benches will also be arriving and placed at the ends of building 4 and 6 facing the waterfront.
Work continues to set up the wifi capability across the community in order the monitor and adjust our irrigation system remotely as well as install additional security cameras along our waterfront. The Board is evaluating several options currently.
Waterfront
The Board voted to reaffirm the requirement for boat owners to include Westhampton Landings Condominium as an additional insured in their boat and personal watercraft insurance by a vote of 6 in favor, 1 opposed.
Aluminum Wiring Remediation
There continues to be activity throughout the community with several units actively being worked on and others in the estimate stage. The Board will be sending out a reminder covering the process to follow as many owners are just beginning this work. The communication will clarify that all units need to be inspected by an electrician for the presence of any aluminum wiring and obtain a certificate of electrical compliance from the Town of Southampton. Note that wiring remediation work can continue throughout the summer.
Communications
Plans for bike storage in the Meeting House are underway. The Board will be cleaning out the Meeting House to prepare an area to place 2 bike racks. Once the area is cleared and ready, the Board will send out a communication with information on how to reserve a space. The Board will also be identifying a storage area in the Meeting House to store the plans and project documents relating to the Sewer and Master Plan work.
EV charging rates will be adjusted to make sure residents with EV vehicles are charged “market consistent” rates when using the charging stations on our property.
The Board noted there are several units that have current violations of the community Rules and Regulations. These include working in units without submitting work order forms for Board approval, and lower level lanai violations. The Board discussed the need to enforce the rules and ensure compliance for the enjoyment of all our residents.
The next Board meeting is scheduled for July 8, 2025.
