Board Meeting Minutes

August 5, 2025

BOARD MEMBERS PRESENT: Steven Goldsmith, President; Joe Sgroi, Treasurer; Pat Harris, Secretary, Chiara O’Connor, Eli Schwartz and Dan Switzer

ISLAND EAST MANAGEMENT PRESENT:  Ryan King

The meeting was called to order at 7:35 pm.

Treasurer’s Report

Our new accountant is currently preparing the financial statement for last year’s fiscal year which will be discussed at the upcoming annual meeting.  Going forward, we will be working with Island East to track our actual spending against budget, by line item, each month.  Remaining budget amounts will be closely monitored and adjustments may be made across line items if needed. This will ensure better insight of our spending by category, as well as help with budgeting for the next fiscal year.

Landscaping

The Board discussed the status of the landscaping and identified a few areas needing attention. While the flower boxes looked very nice at the beginning of the season, some of the annuals did not survive the extreme heat in July.  The Board contacted Fernando, who agreed to begin replacing the dead flowers with another variety of deer resistant plants.  The Board noted that the landscaper brought in a crew to weed the entire property this week and has continued to address maintenance issues as they are raised. The Board will continue to work with Island East to identify areas on the property that need attention and to encourage proactive communication from the landscaper as they see opportunities to enhance the grounds.

Lighting

The Board discussed the need for additional lighting in certain areas on the grounds.  The Board has identified several dark spots while walking the property at night, including the stairways along the ends of the buildings, where additional lighting is needed.  The Board is in the process of working with a lighting company and obtaining recommendations for consideration.

Annual Meeting Planning

The Board discussed material to be included in the Annual Meeting mailing, which will be sent out via certified mail to unit owners next week. The Board agreed to ask owners to submit questions in advance, or if they prefer they can utilize the chat feature for any questions during the zoom meeting. There are 2 board positions opening up this year. The final date for candidates to send in their candidate form for inclusion on the ballot is 8/6.

Aluminum Wiring Remediation

Island East is maintaining a current list of remediation activity by unit.  The Board has not received a response  from all unit owners following the letter that was sent out in July requesting each unit owner report on their activity.  The Board will be reaching out to those owners shortly via phone. 

Communications

The Board discussed replacing the broken or faded signs at the pool as well as adding signs at each parking lot entrance listing the unit numbers associated with that lot.  The Board noted that this is important in the case of any ambulance, fire truck, or other safety need, as well as for unit owner deliveries.  Island East will be getting an estimate for the Board’s review.

Each year our community has gotten the assistance from a firm, Cronin and Cronin, to represent us in the appeal process for real estate taxes on our units. This has resulted in some decreases historically. The Board agreed to invite Cronin and Cronin to our next regular Board meeting so that we can fully understand how their appeal process works.

The next Board meeting is scheduled for September 9, 2025.
